NATURE OF WORK:

You are Applying for a Training Program: The position you are applying for is a temporary training program (Administrative Support Training Program—ASTP) that leads to an Administrative Support position. Administrative Support are required to attend this 8.5 week-long program which provides comprehensive, in-depth training in preparation for full-time employment in one of the organization’s 65 programs, clinics, or departments. The first 3.5 weeks of training is at the Development Center and includes New Hire Orientation, a variety of computer trainings, and professional development in areas including, but not limited to, advanced customer service, conflict resolution, workplace communication styles and skills, patient confidentiality, medical terminology, and career planning. All training is highly interactive and specifically designed for hands-on application of the newly acquired skills learned. Upon successful completion of the program, trainees are placed ‘on the job’ for the last 5 weeks of training at the actual job site. Job site placement is determined by the ASTP trainer with manager and trainee input. ‘Open’ departments vary from month to month based on Southcentral Foundation’s hiring needs. Perform a variety of office support in the areas of personnel management, resource management, administrative and secretarial duties for the department. Completes administrative duties. KNOWLEDGE, SKILLS, AND ABILITIES:
Administrative Support I: Ability to work with customers in a positive and courteous manner to establish and maintain effective working relationships. Ability to work as an active participant in a team environment. Knowledge and ability to operate office equipment. Ability and skill to use a computer. Ability to maintain quality, safety and infection control standards. Administrative Support II: Knowledge of administrative skills. Knowledge and skill using computerized word processing, spreadsheet and/or database software. Demonstrated ability to accomplish a variety of concurrent tasks on a day-to-day basis and make appropriate decisions in performing duties independently to meet the needs and goals of the department. Ability to complete tasks in a timely, organized and professional manner ensuring adequate follow-up. Ability to communicate effectively orally and in writing. Ability to research topics as requested and to organize and report relevant information. Skill in resolving conflicts and to deal with the public in a cordial manner. Knowledge of the Privacy Act of 1974 to maintain and safeguard confidentially of patients medical and personal records. Ability to gather and analyze data in a statistical format. Knowledge of or ability to learn policies and procedures necessary for preparing records, documentation and mandated reports for department’s programs. Ability to maintain quality, safety and infection control standards. Administrative Support III: Demonstrated ability to use advanced word processing, spreadsheet and database software. Demonstrated exceptional customer service skills. Demonstrated ability to initiate solutions to identified issues independently. Demonstrated ability to provide administrative support in a timely and efficient manner with few errors. Demonstrated knowledge of and skill at the functions and responsibilities of the department. Demonstrated ability to manage multiple priorities and tasks concurrently and meet deadlines. Ability to maintain quality, safety and infection control standards. Ability to obtain certification as a Notary Public within six months of hire; if required.

QUALIFICATIONS:
SCF programs are established for the purpose of serving a primary population comprised of Alaska Natives who are affiliated with the Cook Inlet Region Inc. (CIRI), and Alaska Natives and American Indians within SCF’s geographical service area. Employees should have a thorough understanding of the cultures and the needs of the CIRI members, and of the general culture and needs of Alaska Natives and American Indians. Administrative Support I: High school diploma or GED. Administrative Support II: One (1) to two (2) years prior experience performing administrative support duties. Administrative Support III: Two (2) to four (4) years prior experience performing administrative support duties. For clinical areas, CPR certification.
